1. Who we are

This website is a registration page for Xeltom, an all-in-one trainer & resource management platform being built for Registered Training Organisations (RTOs). For any privacy question or request, contact us at support@xeltom.com.

2. What we collect

When you complete the registration form on this site, we collect:

• your full name;
• your email address;
• your organisation name;
• your role at that organisation;
• your phone number, if you choose to provide it;
• how you arrived at the site, such as the referring website or the campaign link you followed; and
• your consent to receive email updates, and the time you gave it.

We use Google Analytics to understand how visitors use this site, such as which pages are viewed, how people arrive here, and whether the registration form is completed. Google Analytics uses cookies and collects information such as your device, browser, approximate location and how you interact with the site. This information is aggregated and is not linked to the details you enter in the registration form. You can opt out by installing the Google Analytics opt-out browser add-on or by blocking cookies in your browser.

Beyond that, we don't collect any other personal information beyond what you enter in the form. Standard technical information (such as IP address) may be briefly processed by our hosting infrastructure to prevent abuse of the form (for example, rate-limiting repeated submissions), but this is not stored against your registration.

3. Why we collect it

We collect this information to:

• register your interest in Xeltom and send you a confirmation of your registration;
• send you email updates about Xeltom, including launch news and early access, where you've agreed to receive them; and
• let our sales team know about new registrations so they can follow up if appropriate, including by phone if you've provided a number.

We don't use your information for any other purpose, and we don't sell or trade personal information.

4. Disclosure to third parties

We don't disclose your personal information to third parties for their own marketing purposes. We do use third-party service providers to run this website, store registrations, send emails and measure site usage, including hosting (Vercel), database (MongoDB Atlas), email delivery providers and website analytics (Google Analytics). These providers only process data on our behalf and under their own security obligations.

5. Storage overseas

Our hosting, database and analytics providers may store or process data on servers located outside Australia (including in the United States). By registering, you consent to your personal information being held on infrastructure located overseas for these purposes.

6. How we protect your information

We apply reasonable technical safeguards to protect the personal information we hold, including security headers, rate-limiting on our registration endpoint, and restricted database access. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information from misuse, interference, loss, and unauthorised access, modification or disclosure.

7. How long we keep it

We keep your registration details for as long as needed to contact you about Xeltom's launch, or until you ask us to delete it or unsubscribe.

8. Access, correction and unsubscribing

Every email we send includes an unsubscribe link, and you can also unsubscribe directly at /unsubscribe by entering your email address. You can also ask us to access, correct, or delete your personal information at any time by emailing support@xeltom.com. We'll respond to reasonable requests within a reasonable timeframe.

9. Complaints

If you have a concern about how we've handled your personal information, please contact us at support@xeltom.com so we can try to resolve it. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

10. Changes to this policy

We may update this policy from time to time as Xeltom develops. Any changes will be posted on this page with an updated "last updated" date.
