Terms of Service

Last updated: 27 September 2026

These terms apply when your organisation ("you") uses Xeltom ("Xeltom", "we", "us", "our"), an online trainer and resource management platform for Registered Training Organisations. By creating an account or using Xeltom, you agree to these terms on behalf of your organisation.

1. Your account

You must provide accurate details when you sign up and keep them up to date. You are responsible for your staff's use of Xeltom, for choosing who has access, and for keeping login details secure. Tell us promptly at info@xeltom.com if you believe an account has been accessed without permission.

2. Free trials

Organisations that registered their interest before launch receive a free 3-month trial. Organisations that sign up after launch receive a free 1-month trial. A trial starts when your organisation's account is created, and there is no obligation to continue once it ends.

Before your trial ends, we will let you know what paid plans are available. If you choose not to continue, your account will become read-only and we will keep your data for 30 days so you can export it, after which it will be deleted.

3. Fees

Paid plans, prices and billing terms will be shown to you before you are asked to pay. We will give you at least 30 days' notice of any change to the price of your plan.

4. Your content and data

You own the resources, documents, user details and other content your organisation adds to Xeltom. You give us permission to store, process and display that content only as needed to provide Xeltom to you. We don't sell your content or use it for any other purpose.

You are responsible for having the right to upload your content, including any third-party training materials, and for making sure it does not break any law.

How we handle personal information is explained in our Privacy Policy.

5. Acceptable use

You must not use Xeltom to:

We may suspend access that breaches these terms, and will tell you why where we can.

6. Availability and changes

We work to keep Xeltom secure, reliable and available, but we can't promise it will be uninterrupted or error-free. We regularly improve Xeltom and may add, change or remove features. If we remove a feature your organisation relies on, we will give you reasonable notice where we can.

7. Ending your use of Xeltom

You can stop using Xeltom at any time. You can export your content before you leave, and we will delete your organisation's data within 30 days of your account closing, unless we're required by law to keep it longer.

8. Your rights under Australian law

Nothing in these terms excludes, restricts or modifies any right or remedy you have under the Australian Consumer Law or any other law that cannot be excluded. Subject to that, our total liability to you in connection with Xeltom is limited to the fees you have paid us in the 12 months before the claim, and we are not liable for indirect or consequential loss.

9. Changes to these terms

We may update these terms from time to time. If a change materially affects you, we will let you know by email at least 30 days before it takes effect.

10. Governing law and contact

These terms are governed by the laws of New South Wales, Australia. Questions about these terms can be sent to info@xeltom.com.
