What makes a resource hub different from a shared drive
A shared drive stores files. A resource hub helps people use them. The difference shows up the moment a trainer needs something they didn't create: in a hub they can find it, understand what it's for and trust that it's the current version, without messaging a colleague to ask.
Xeltom was built inside an RTO for that reason, and its trainers now use it every day.
Find anything in seconds
Trainers can search the whole library by keyword, or filter by course, subject or category. They can also browse course by course, with every subject's resources sorted into lesson plans, assessment guides, trainer tools, links and videos. Material that isn't tied to a course, such as handbooks and templates, has its own area.
Know what a resource is before opening it
Every resource has its own page, so trainers can check they have the right thing before downloading anything. A resource page shows:
- an overview of what the resource is
- recommended usage, explaining when and how to use it
- screenshots and embedded videos
- the course, subject and resource type it belongs to
- who uploaded it, who last updated it and when
Files, links and videos in one place
Useful websites are stored as links next to the files for the same subject, rather than in someone's browser bookmarks. Videos are embedded and play inside Xeltom, so trainers don't need to hunt for them on another site.
Always the current version
When the same resource is used in several subjects, Xeltom keeps one copy and attaches it to each of them. Update it once and every subject has the new version. There's no "final v2" sitting next to the original.
Shortcuts for every trainer
Trainers can save the resources and courses they use most, and every user has a personal dashboard showing their saved items and what has recently been added. The things they need each week are one click away.
What trainers say
These are trainers at EQC Institute, where Xeltom has been used every day.
"I needed to add more activities to make my class more fun and engaging. I also like to leave things a bit last minute so I had about 15 minutes before class. I jumped on Xeltom and checked the trainer support material and there was a bunch of links and resources that I could use. Things like quizzes and CTFs etc and it was awesome."
"Xeltom is fantastic! Honestly, I couldn’t do my job the same way without it. I use it daily to find current lesson plans, resources and links that help me deliver 11/10 training to students that deserve the best from us."
Getting your hub started
Admins can bring existing material across by uploading a ZIP of files and assigning each one to a course or subject, and can import courses and staff from spreadsheets. For setting up a hub across several faculties or campuses, see college resource management.
